The Role
We are looking for a fixed term HR Coordinator to support in Frankfurt for 20 months.
The HR Coordinator is a key team member supporting the day-to-day delivery of the core HR processes across Frankfurt, Stockholm, Oslo, Mainland, and Amsterdam. The successful applicant will work directly with the HR Officer and HR Business Partner (HRBP) for the Investing Functions and West Park Services.
We are looking for a proactive individual who can integrate seamlessly within a larger HR team and ensure smooth HR administration on a variety of activities spanning the end-to-end employee lifecycle, including recruitment, onboarding and L&D. The successful candidate must possess the ability to manage tasks independently, prioritise their own workload, identify and mitigate risks and continuously seek ways to improve processes.
Primary Responsibilities
HR Administration
- Administer and manage the end-to-end employee life cycle activities including, onboarding, offboarding, changes to terms of employment, Family Friendly Leave etc. whilst keeping in mind current employment law and local regulations.
- Responsible for managing contractors and other contingent worker contracts, monitoring visa expirations and ensuring ongoing compliance with regulations and company policies.
- Manage employee information both electronically (Workday, SharePoint) and physically (personnel files) ensuring the appropriate confidentiality and data protection is maintained.
- Produce and manage documentation related to HR processes. This includes regulatory references and documentation relating to SMCR requirements.
- Conduct induction sessions for new joiners and exit interviews for leavers. Collate information from exit interviews and report findings.
- Support the HR Operations Officer in the design and implementation of process and system enhancements.
- Ensure all Payroll inputs are processed, and Payroll have the correct documentation to process monthly payroll efficiently.
- Oversee the HR shared inbox, serving as a main contact for incoming queries and providing timely responses.
- Processing training requests and organising study agreements. Maintain the Learning and Development tracker and L&D records in Workday.
Recruitment
- Support our Early Career Development Manger to coordinate the end-to-end recruitment process for assigned business areas, ensuring that each step is completed efficiently and accurately.
- Maintain the recruitment database, ensuring all candidate information is up-to-date and at the correct stage in the process.
Wider HR Team Support
- Prepare materials to support business cycle activities as required. This includes presentation decks and various types of employee related documentation.
- Updating the HR intranet and maintaining policy documents and Handbooks.
- Completing the weekly internal HR newsletter on a rota basis with other HR Coordinators.
- Supporting on various projects across the team.
Skill Set / Experience
- High level of accuracy, organisation and attention to detail.
- Ability to thrive in a fast-paced environment, demonstrated ability to prioritise competing demands and meet deadlines whilst remaining agile.
- Strong initiative and ownership of responsibilities; must exhibit a proactive, positive attitude towards completing tasks, planning ahead for potential risks and knowing when to escalate.
- Able to handle sensitive and confidential information.
- Ability to work proactively, collaboratively and flexibly as part of a team.
- Keen curiosity to build a career within HR and willing to learn.
- Experience working in HR with moderate knowledge of core HR processes and some understanding of German employment law.
- Excellent verbal and written communication skills in English and German.
- Advanced knowledge of Microsoft suite and Teams.
- Experience with Workday is an advantage.
